Regulation

Why you will have to change your software, like it or not: VERI*FACTU

Spain’s tax authorities will require the software you invoice with to record every receipt, chain it to the one before and print a QR code on it that your customer can check. Does yours?

What VERI*FACTU is

It is the name Spain’s invoicing-software regulation goes by: Royal Decree 1007/2023, which sets how the software you invoice with has to work. In day-to-day terms: no receipt that leaves your till can be deleted or edited without leaving a trace. Your till will have to do three things:

  • Record and chain

Every receipt is recorded the moment it is issued and chained to the one before. If someone deletes or edits one, the chain breaks and it shows.

  • A QR code on every receipt

Your customer scans it and checks on the tax authorities’ website that their receipt is on record.

  • Straight to the tax authorities

Every record is sent to the Tax Agency as it is made. If your system does not send them, it will have to sign them and keep them for when the tax authorities ask.

This affects you and your restaurant directly

All it takes is a till, a cash register or any program that prints receipts. It makes no difference whether you are self-employed or a company, whether you run a bar or forty tables.

When it reaches you

October 2028

is when the Ministry of Finance expects it to become mandatory, at the same time as e-invoicing between businesses.

Until that change is published in the BOE, Spain’s official gazette, the law still says 2027: 1 January if your restaurant is a company, 1 July if you are self-employed.

If you have to change, don’t settle for a patch

€50,000

for every tax year you use an invoicing system that does not comply. The fine goes to whoever uses it: your restaurant (article 201 bis of the General Tax Act).

Don’t risk having a modern obligation squeezed into old software. A till that was never designed for this needs a patch: a new module, an update that is sometimes charged separately, and the hope that it all works first time. If the patch fails, a receipt is not recorded or the chain breaks, you are the one who answers to the tax authorities.

If you are going to have to change something anyway, make it the system, not the patch.

Edesia does it all for you

In Edesia, VERI*FACTU comes as standard. To turn it on, you only fill in a form with three details about your business (legal name, tax ID and registered address) and press “Turn on VERI*FACTU”.

From then on, Edesia does the rest: it records every receipt as it is paid, chains it to the one before, prints its QR code and sends the record to the tax authorities on your behalf. All you do is look after your customers.

And with the same system, your diners order from the table with a QR code, the comanda reaches the kitchen instantly and the till keeps taking payments even when the internet goes down.
